Guiding Information For Tenants


1. Inventory: Guiding Information For Tenants

You will receive an inventory of the property once the Lease Agreement has been signed. Inventories record the contents and condition of the house at the commencement of the tenancy.

We require inventories to be checked as soon as possible as any defects. And/or comments should be marked on the inventory and returned to our office within seven days of the date received.

Only inventories amended, signed and dated by Zerox24 Letting Agency will be accepted at the final inspection. It is important that this document is kept in a safe place as this is an important record for Tenants and Landlords alike.



2. Rent

Rent is payable strictly by Mpesa on the 1st of each month. We shall give grace period of three days for you to pay rent. You will also be supplied with an Mpesa Till Number by our office which you should use to pay your rent.

This method of rent payment ensures regular, on-time payments and protects you against a potential bad payment history or delay. Please note that it is tenants responsibility to ensure that, lipa na Mpesa Till Number is the correct one used by our office at the start of the tenancy. Note: Deposit money shall never be utilized to pay rent but shall be refunded at the end of tenancy. Terms and condition of the lease agreement apply.

3. Other Payments

Zerox24 Letting Agency will notify the relevant Utility companies i.e. KPLC, Tanathi Water Company and Council Authority of the tenancy; thereafter Tenants are responsible for payment of electricity and water charges and TV Licenses DSTV, ZUKU, GoTV etc (if applicable).

Please note that some categories of persons may be subjected to collective payment of services named above and shall be given more information.  To find out whether you qualify, please contact our office for clarification.

If there is a security guard in the property you may have this service if you wish but you will be liable for any charges applied.

4. Property Visits: Guiding Information For Tenants

We conduct regular condition inspections of all tenanted accommodation.  The purpose of the visit is to ensure that there are no maintenance issues that need attention and also to check that you are fulfilling the obligations of the lease and are maintaining the property to a satisfactory standard.

Each visit will normally take less than 30 minutes, and we will contact you beforehand giving you notice of the intended date and time of the visit.



5. Faults & Repairs

If a fault becomes apparent at the property, you must inform us immediately. Failure to do so may mean that you are held responsible for any further deterioration as a result of the delay.

Once we have been informed of a fault we will contact the landlord and act upon their instructions. Small ongoing maintenance of the property e.g. replacing internal light bulbs and toilet cleaning are the tenant’s responsibility even though’ we can help provided you inform us in time.  Security lights maintenance is responsibility of the Letting Agency.

Please note that we also have a 24 hour maintenance number for use of emergencies only.

6. Smoke / Fire & Carbon Monoxide Detectors

When any detectors are fitted in the property, under the terms of your agreement, you are obliged to ensure they are checked regularly and are in good working order.

This is for your own safety. We recommend a daily check; however, they must be checked at least once a week.
If you become aware of a fault you must notify / contact us immediately.

7. Re-Decoration: Guiding Information For Tenants

We understand that you need to feel happy and comfortable in your temporary house. Should you wish to re-decorate and personalize the House, please submit a request to our office detailing the changes you would like to make and we will endeavor to inform you of the decision within 7 days.

Please do not carry out any re-decoration of the property without written authorization as this may result in you being held liable for any costs incurred by the landlord to restore the property to the original condition.



8. Gardening

If your house has a garden it is your responsibility to ensure the lawns are watered. Cut regularly and the borders are kept weed-free. In addition, the gardens must be kept tidy and free from refuse.

9. Insurance

The landlord is responsible for insuring the building and the contents detailed in the inventory. Tenants are responsible for arranging contents insurance for their personal possessions and accidental damage to the landlord’s possessions.

Neither the landlord nor Zerox24 Letting Agency will accept any responsibility for loss or damage to your possessions whilst occupying the property. Should you not already have an idea of the security situation in the town we are sure to provide you with a guide.

10. Going Away?

If you are going to be away from the property for more than a month at any one time you must inform us by visiting our office, Email, call or SMS. This is so we can ensure the property is looked after in your absence and deal with any problems that may arise on your behalf.

11. Vacating

You must vacate the property on the agreed date (usually the last day of the tenancy agreement). One month before vacation date you will receive confirmation of the final check-out inspection date and a tenant vacating checklist to ensure that the move out process is a smooth and simple procedure.

In case you delay to vacate after the agreed date, additional charges shall apply and your deposit may be compromised.



12. Deposits: Guiding Information For Tenants

Your deposit will be held in a designated client deposit account by Zerox Letting Agency as Agent for your Landlord throughout your tenancy and is refundable immediately after vacating the property provided that:

  • Your rent is paid up to date.
  • All utility bills (i.e. electricity, water) relating to the tenancy have been paid.
  • The property has been well maintained.
  • Any items listed on the inventory are all present and in good condition.

NOTE:  Under no circumstances can the deposit be used as payment for the last month’s rent, but it is refundable at the end of tenancy. Terms and conditions apply. This aims to train people to be responsible citizens.
